Procedure for Requesting Approval of a New App or Website

This procedure establishes how teachers request approval for a new app, website, or digital tool and how the district begins its student data privacy review.

1. Check the GWRSD Digital Tools Directory

Before requesting a new tool, teachers must check the GWRSD Digital Tools Directory to determine whether the app or website is already listed.

To locate the directory:

  1. Go to the GWRSD Helpdesk.

  2. Search for “apps.”

  3. Open the “Search Approved Digital Tools.”

  4. Search for the app or website you would like to use.

If the tool is listed, review its approval status and any instructions or restrictions before using it. A listing alone should not be treated as approval.

2. Submit a Request for a New Tool

If the app or website is not listed in the directory, teachers must submit a request for review.

  1. Click the “Request a new tool” button on the GWRSD Digital Tools Directory page.

  2. Complete all required fields on the request form.

  3. Submit the form.

Submitting the form begins the review process; it does not authorize use of the tool.

3. IT Director Begins the Privacy Review

Once the form is submitted, the IT Director receives a notification and begins the review process.

The IT Director contacts the Student Data Privacy Alliance to determine whether the company providing the app or website will sign the approved Data Privacy Agreement (DPA).

4. Wait for an Approval Decision

Teachers must wait for confirmation of district approval before using the requested app or website with students or providing student information to the service.

The IT Director communicates the outcome of the review and any conditions or restrictions that apply. If the company will not sign the approved DPA, the request remains unapproved unless the district determines that another acceptable approval pathway applies.
